Frequently Asked Questions

Everything you need to know about our wedding planning services

What exactly do you do as a coordinator?

We handle everything no one else wants or likes to do! From planning and design to budget management, we manage it all. On the day of your event, we decorate, set up, tear down, create schedules, timelines, and layouts, direct rehearsals, and ensure all vendors are aligned and on the "same team." Additionally, we provide creative ideas and advice to make your event truly "knot" average, while resolving any family disagreements along the way.

How many hours does it typically take a professional to plan a wedding from start to finish (including travel, meetings, communication, planning, and day of event)?

  • Month-of Planning with Day-of Event Management: Approximately 40+ hours
  • Partial Planning Services including Day-of Event Management: Approximately 70+ hours
  • Full-Service Planning including Day-of Event Management: Approximately 313+ hours

Planning a wedding is a monumental effort, encompassing research, networking, and education to ensure everything runs smoothly. Professionals invest countless hours learning, training, and creating the magic for your special day. It's a production, much like a symphony or a movie—you wouldn't enjoy either without a conductor or director, so why wouldn't you have a professional guiding your wedding?

It's a Production… you probably wouldn't enjoy a meal at a restaurant without a chef, or enjoy a movie without a director…much less a symphony without a conductor… so WHY wouldn't you have someone guiding all along the way? The BEST Athletes have someone "coaching" them from DAY ONE!

Why should I book additional staff?

Additional staff ensures that your loved ones can relax and enjoy the day without worrying about setup or cleanup. They can:

  • • Keep restrooms clean
  • • Help with parking and traffic direction
  • • Greet guests
  • • Manage equipment or decoration changes, especially in bad weather

Having an extra set of hands on-site provides peace of mind and ensures that every detail is attended to.

My family's friend is a wedding director or will my church director be enough?

Church directors are excellent for traditional ceremonies but may not cover the complexities of a full event. A professional coordinator can handle unexpected issues such as late vendors, broken decorations, or weather challenges. Family friends or church directors might miss out on enjoying the event if they're behind the scenes managing problems. A professional ensures everything runs seamlessly, allowing your loved ones to celebrate with you.

Do I need a rehearsal?

Absolutely! Even if you've been in multiple weddings, others in your party may not have. A rehearsal helps:

  • • Answer last-minute questions
  • • Show everyone where they need to be during the ceremony
  • • Address parking logistics
  • • Finalize timelines and roles for the day

It's also a great time to distribute printed schedules and confirm details like the welcome, meal blessing, and toasts.

Do I have to hand out programs or menu cards?

Programs and menu cards enhance communication with your guests, making the event smoother. Programs are especially helpful for non-traditional ceremonies or when there are multiple solos or readings. Menu cards inform guests about the meal and cake flavors. If budget is a concern, consider alternatives like chalkboards, picture frames, or printed signage.

Do I have to give party favors to my guests?

Party favors are optional, but they're a thoughtful way to thank your guests. Edible favors often evoke fond memories of your special day. Alternatively, you could donate to a charity in honor of your guests or loved ones who couldn't attend.

I don't drink, should we still offer alcohol at our reception?

Your reception should reflect your values and comfort level. If alcohol isn't your style, consider hosting a morning or afternoon wedding with alternative beverages like mocktails, coffee bars, or punch. For those who want a party atmosphere, offering beer, wine, or a signature cocktail during cocktail hour can maintain the celebratory vibe. Jennifer Ball, our Master Wedding Planner, is also a certified bartender and can assist with creative bar options.

Should I tip our vendors and their staff?

Tipping is a wonderful way to show appreciation for exceptional service. A heartfelt thank-you note and positive online reviews are also meaningful. If you'd like to tip, consider creative options like gift cards to their favorite coffee shop or restaurant—thoughtful gestures go a long way in showing gratitude.
